Document Scanning Process

What do we do to convert your archived documents to digital format?

Whether we are scanning 1 or 100 documents we follow the same processes below:

Collection

We will collect your documents from your chosen address, whether that is your office or home address using our own in-house staff and sign written vehicles. We dont use external courier firms therefore offering you extra peace of mind and security. We currently cover the whole of the North-west of England.

Preparation

Once we have collected your documents we will prepare the files ready for document scanning. This involves removing any staples, paperclips, postik notes and removing any folds or creases in the paper to ensure the highest quality result.

Document Scanning

We will then scan your documents at an agreed resolution (standard is 300dpi) in either black/white or colour, removing any blank pages and save your files using a file name/reference you have supplied.

Example : Smith456549 or Smith29March2013

We use high speed production scanners which are capable of scanning 10,000s of pages every day. We scan your files to a searchable PDF format allowing for superfast retrieval through key word searches.

Sampling & Testing

Once we have completed your document scanning project our team will test your files to ensure the best quality possible. We can also provide you with a sample of your scans to ensure that the files are to the standard and format you require.

Completion

Once we have completed your work we will provide your scans on a USB drive so that they can be used at your convenience, giving you the option of loading the file to your ownin-house system. We will then return your files, archive in our secure warehouses or have them confidentially shredded at your request.
